Kinvy Web Design LLC builds and hosts websites and provides marketing and communication tools for small local businesses. This policy explains what personal information we collect, why we collect it, who we share it with, and what you can do about it. It is written to be read, not to be skimmed past.

1. Who we are
Kinvy Web Design LLC is a limited liability company registered in the State of Washington. In this policy, “Kinvy,” “we,” “us” and “our” mean Kinvy Web Design LLC. “You” means anyone who visits this website, contacts us, or becomes a customer.
This policy covers kinvyweb.com and the services we provide directly to our own customers. It does not cover the websites we build and host for our clients — those are covered in section 9.
2. The short version
We collect the information you hand us — your name, your phone number, your email, what your business does — so we can call you back and do the work you hired us for. We use a small number of well-known companies to run the plumbing: payments, hosting, email, texting.
We do not sell your personal information. We have never sold it and we do not intend to. We do not share your phone number or your consent to be texted with anyone, for any marketing purpose, ever.
3. Information we collect
Information you give us directly
- Contact details — your name, business name, phone number, email address, and the town or service area you work in.
- What you tell us — the contents of your messages, emails, texts, form submissions, and chat conversations with us, including any voicemail you leave.
- Account and project information — your business details, photos, logos, service lists, pricing and hours that you provide so we can build your website and set up your tools.
- Billing information — your billing name and address, and the last four digits and expiry of your card. We never see or store your full card number. Payments are processed by Stripe, and card details go directly to Stripe.
Information collected automatically
- Device and connection data — IP address, browser type and version, operating system, screen size, and the pages you viewed on our site and when.
- Referral data — the page or search that sent you here.
- Cookies and similar technologies — see section 8.
Information we do not collect
We do not ask for and do not want your Social Security number, your driver’s licence, your bank login, your health information, or any government identification. If you send us something like that unprompted, we will delete it.
4. Text messaging (SMS)
We use text messaging to reply to enquiries, confirm appointments, send service updates, and follow up on work in progress. Everything in this section applies to messages sent from Kinvy Web Design LLC.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.
Text messaging originator opt-in data and consent will not be shared with any third parties. This information is excluded from every other category of sharing described in this policy, including sharing with service providers for their own purposes.
We do not sell, rent, trade, or lease phone numbers. We do not buy phone number lists, and we do not text people who have not asked to hear from us.
How you opt in
You consent to receive text messages from us in one of the following ways, and only these ways:
- You tick the SMS consent box on a form on this website. The box is never pre-ticked, and you can submit the form without ticking it.
- You text our published business number first.
- You call our business number and we are unable to answer, in which case an automated reply may be sent to the number that called.
- You give us your number in the course of becoming a customer and agree to be contacted about your account.
What to expect
- Message frequency varies and depends on your conversation with us and the stage of your project.
- Message and data rates may apply from your mobile carrier.
- Carriers are not liable for delayed or undelivered messages.
How to stop
Reply STOP to any message and we will stop texting you. You will get one final message confirming it, and then nothing further. Reply HELP for help, or call us on (509) 668‑1035.
After you opt out we keep a minimal record that your number opted out. We keep it precisely so that we do not text you again by mistake. That record is not used for any other purpose.
5. How we use information
| We use it to | Which means |
|---|---|
| Answer you | Return your call, reply to your text, respond to a form or chat message. |
| Deliver the service | Build, host and maintain your website; set up your phone, inbox, calendar and automations. |
| Bill you | Process your monthly subscription, send receipts, handle refunds and failed payments. |
| Support you | Troubleshoot problems, make the changes you ask for, and keep a history so you do not have to explain it twice. |
| Improve the site | Understand which pages get read and where people give up, so we can fix them. |
| Stay legal and safe | Keep records we are required to keep, prevent fraud and abuse, and enforce our Terms. |
We do not use your information to build advertising profiles, and we do not run behavioural advertising on this website.
6. How we share information
We share personal information only in the situations listed below.
- With service providers who run part of our operation on our behalf — see the table in section 7. They are permitted to use the information only to perform that service for us.
- When you ask us to — for example, connecting your Google Business Profile or a tool you already use.
- For legal reasons — if we are required to by law, subpoena, or valid legal process, or where we believe it is necessary to protect someone’s safety or to investigate fraud.
- In a business transfer — if the business is sold or merged, information may transfer as part of that transaction. You would be told before your information became subject to a different policy.
We do not sell personal information. We do not share personal information for cross‑context behavioural advertising. And as stated in section 4, mobile information and SMS consent are never shared with third parties or affiliates for marketing or promotional purposes.
7. Service providers we use
We name these because a policy that hides behind “trusted partners” is not telling you anything. Each of these companies publishes its own privacy policy.
| Provider | What it does for us |
|---|---|
| Stripe | Processes card payments and subscriptions. Card numbers go to Stripe directly and are never stored by us. |
| HighLevel (LeadConnector) | Runs our customer records, calendar, shared inbox, and phone and text messaging. |
| Twilio | Carries the calls and text messages sent through the phone system. |
| Business email, and Google Business Profile management for clients who ask for it. | |
| Cloudflare | Hosts and delivers this website and protects it from attacks. |
We may add or change providers as the business changes. When we do, they are held to the same restriction: they may use your information only to do the job we hired them for.
8. Cookies and analytics
A cookie is a small file a website stores in your browser. We keep our use of them deliberately light.
- Necessary cookies make the site work — loading pages, remembering a form you started, keeping the site secure. These cannot be switched off without breaking the site.
- Analytics cookies tell us, in aggregate, which pages are read and where visitors leave. We use this to fix confusing pages. We do not use it to identify you personally.
You can block or delete cookies in your browser settings. Blocking necessary cookies may stop parts of the site from working.
Do Not Track and Global Privacy Control. We do not track visitors across other companies’ websites, so there is nothing for a Do Not Track signal to switch off. Where we detect a Global Privacy Control signal, we treat it as a request to opt out of any sale or sharing of personal information — which we already do not do.
9. Information we handle for our clients
This section matters if you are a customer of one of the businesses whose website we built — a contractor, a plumber, an electrician — rather than a customer of ours.
When you fill in a form, start a chat, or send a text to one of those businesses, that business decides what happens to your information. We only store and process it on their instructions, as their service provider. In legal terms, they are the controller and we are the processor.
If you want your information corrected or deleted, contact that business directly — they can act on it immediately. If you cannot reach them, contact us at tanner@kinvyweb.com and we will pass the request along and help where our agreement with them allows.
We do not use information belonging to our clients’ customers for our own marketing. We do not merge it across clients. We do not sell it.
10. How long we keep information
| Type | How long |
|---|---|
| Enquiries that never became customers | Up to 24 months, then deleted. |
| Customer records and project files | For as long as you are a customer, and up to 3 years after you leave, so we can answer questions about work we did. |
| Billing and tax records | 7 years, because tax law requires it. |
| SMS opt‑out records | Indefinitely, so we never text a number that asked us not to. |
You can ask us to delete your information sooner. See the next section.
11. Your choices and your rights
Whatever state or country you are in, we will honour the following requests:
- See it. Ask us what personal information we hold about you and we will tell you.
- Correct it. Tell us what is wrong and we will fix it.
- Delete it. Ask us to delete your information and we will, except where we are legally required to keep it — billing records being the main example.
- Take it with you. Ask for a copy of what you gave us in a usable format.
- Stop the messages. Reply STOP to any text. Click unsubscribe in any email. Tell us on the phone. All three work.
Email tanner@kinvyweb.com with the subject line Privacy Request. We respond within 30 days, and usually a lot faster than that. We will not charge you, and we will not treat you differently for asking.
Residents of states with comprehensive privacy laws — including California, Colorado, Connecticut, Virginia and others — have these rights by statute, along with the right to appeal a refusal. To appeal, reply to our response and write Appeal in the subject line.
12. How we protect information
Our website is served over HTTPS. Access to customer records requires a password and two‑factor authentication. Card data never touches our systems. We limit who can see what to the minimum needed — which, for a one‑person company, is a short list.
No system is perfect and anyone who tells you otherwise is selling something. If a breach affects your personal information, we will tell you and the relevant authorities as required by law.
13. Children
Our services are for businesses. They are not directed at children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, email us and we will delete it.
14. Changes to this policy
If we change this policy we will update the date at the top of the page. If the change is significant — a new category of sharing, for instance — we will tell customers by email or text before it takes effect.
